Job Description
KEY ACCOUNTABILITIES:
Document Management: Responsible for managing project documentation. This includes organizing and filing project-related
documents, plans, permits, and other paperwork, ensuring they are easily accessible to the project team.
Communication: Answers telephone system for the purpose of transferring calls, responding to inquiries, and/or taking
messages and emails., responding to inquiries and direct messages to the appropriate team members. They also facilitate
communication between, Sub-contractors, suppliers, and project managers.
Administrative Support: Assist with general office tasks, such as scheduling meetings, managing calendars, and making travel
arrangements for project personnel. They may also help with the preparation of reports, presentations, and proposals.
Financial Responsibilities: May handle financial tasks such as processing invoices, tracking site expenses, and assisting with
HR/payroll activities.
Record Keeping: Maintaining accurate records is essential in construction projects. keeping records of project progress,
including meeting minutes, change orders, and project timelines.
Project Coordination: May perform some duties typically assigned to project engineers. This can include processing requests
for information (RFIs), coordinating deliveries, and tracking materials and equipment if required.
Office Supplies and Maintenance: They are responsible for ensuring the availability of office supplies and may also oversee
basic office maintenance, such as managing office equipment and
Skills
Bachelor's Degree/ Diploma or equivalent.
Proficiency in office software such as Microsoft Office Suite.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Attention to detail and a proactive approach to problem-solving.
Knowledge of construction terminology and processes is a plus.
